Refund & Cancellation Policy
How the trial, cancellations, renewals, refunds, and failed payments work.
Canceling
Cancel any time from Settings → Plan & subscription. Cancellation takes effect at the end of your current paid term. You keep full access until then, and you are not charged again.
Refunds
We do not issue partial refunds, except in the two cases below. Monthly and annual subscriptions are non-refundable for the current term. Canceling stops the next renewal; it does not refund the term in progress. Requesting account deletion works the same way and is never a refund.
Two exceptions:
- Material adverse changes to these terms. If we materially change the Terms of Service to your disadvantage and you cancel before the change takes effect, you receive a prorated refund of prepaid fees for the remainder of your term.
- Billing errors. If we charge you incorrectly, we refund the error in full. Tell us within 60 days at billing@kavvim.com.
We may make exceptions at our discretion. Ask.
Statutory rights, where they apply, are unaffected, and nothing here limits them.
The free trial
New studios may start on a 14-day free trial. No card is required to begin it, and nothing is charged during it.
When the trial ends, the first term is charged to the payment method on file. If there is no payment method on file at that point, nothing is charged and the workspace is locked until one is added and a payment succeeds. Your data is kept while it is locked, so subscribing later restores everything.
A trial that ends without a card gets no grace period, because there is nothing to retry. The 72-hour grace window described below exists for a card that failed, not for a card that was never given.
Failed payments
If a renewal payment fails we email the billing contact, and you have 72 hours to correct the payment method before access is restricted. The subscription is marked past due during that window, and we email you again when access is restricted. Your data is retained throughout; restriction is a lock, not a deletion.
This grace period applies only where a payment method exists and a charge failed. It is not an automatic retry: you need to correct the payment method yourself, or contact billing@kavvim.com.
Seat changes
Adding a team member mid-term charges a prorated amount for the days remaining in the term. Removing one issues a prorated credit for those days. That credit is applied against your next invoice rather than returned to your card, so it reduces what you are charged at the next renewal.
Switching from monthly to annual billing is charged and prorated on the day you switch. Switching from annual back to monthly takes effect at your next renewal, with no charge at the time you request it.
Billable seats are team members with access to studio features. Viewers, read-only collaborators, and client-portal users are free and never count as seats, no matter how many you invite.
Annual plans
Annual subscriptions are billed at ten months’ price for twelve months of service. There is no partial refund for canceling an annual plan mid-term: the discount is given in exchange for the commitment.
After cancellation

Subscribing again at any point before day 365 restores your account in full. We email you on day 0 and on day 358.
If you want your data deleted sooner, request account deletion from Settings → Closing your account. That starts a shorter timeline: 30 days read-only with export, then 90 days retained but unreachable, then permanent deletion at day 120.
Payments from your clients
This policy covers your subscription to Kavvim. Refunds you issue to your own clients for invoices they paid through Kavvim are separate: you control them, and they are debited from your Stripe balance. See Section 7 of the Terms of Service.
