Zoom integration for Kavvim
Kavvim is the studio operating system for interior designers and architects. Connect Zoom and every video consultation you confirm gets a real Zoom meeting on your own Zoom account, automatically.
What this integration does
Kavvim runs the business side of a design studio: projects, item catalogs, scheduling, and a client portal where a studio's clients can request and manage appointments. One of the appointment types is a video call.
When a studio confirms a video booking, Kavvim creates a Zoom meeting on the studio's own connected Zoom account and puts the join link on the booking, where both the studio and the client can see it. If the booking moves, the same meeting moves with it. If the booking is canceled, the meeting is deleted.
Kavvim never joins, reads, records or stores the content of a meeting. It creates, moves and deletes meetings, and reads the email address of the account you connected so it can show you which one it is.

Before you start
- A Kavvim account, with a studio set up. Every Zoom connection belongs to one studio, not to an individual.
- A Zoom account that can create meetings. A free Zoom account is enough.
- Permission to manage your studio's settings. Connecting and disconnecting needs the Manage integrations permission, which studio owners and admins hold by default. A member without it will not see the Integrations tab.
One Zoom account is connected per studio. Colleagues share it: meetings are created on the account that authorized the connection, whoever confirms the booking.
Adding the integration
- In Kavvim, open Settings, then Integrations.
- Find the Zoom card and press Connect. Kavvim sends you to Zoom to sign in and approve.
- Approve the permissions Zoom asks for. Leaving any of them unticked means the connection is refused rather than half-created.
- Zoom returns you to Kavvim. The Zoom card now reads Connected, with the email address of the account you authorized.
The first provider you connect becomes your studio's default, so new video bookings start using it immediately.
Zoom asks for four permissions, and Kavvim asks for nothing beyond them. Each one exists for exactly one thing:

Kavvim does not request access to recordings, transcripts, chat, participant lists, your contacts, or anyone else's meetings. It only touches meetings it created itself.
Using it
Confirm a video booking and Kavvim creates the Zoom meeting at that moment. The join link is stored on the booking.
- The studio sees the link on the booking itself, in Bookings.
- The client sees it on their booking card in the client portal, for confirmed video calls that have not happened yet.
- The client also gets it in the confirmation they receive, as a "Join:" line in both the in-app notification and the email.
Reschedule the booking and Kavvim moves the same Zoom meeting to the new time. The join link does not change, so a link already sitting in your client's inbox keeps working.
Cancel or decline the booking and Kavvim deletes the Zoom meeting.
If you paste your own link onto a booking instead, Kavvim leaves it alone. It only fills a link that is empty, so your own link is never overwritten.
With no Zoom account connected, confirmed video bookings still get a link: Kavvim generates a room on a shared, keyless video service instead. Nothing breaks, and no meeting is created anywhere on your behalf.
A problem at Zoom never blocks a booking. If Zoom cannot be reached when you confirm, reschedule or cancel, the booking change still goes through and Kavvim records the failure rather than undoing your work.
Removing the integration
There are two ways to remove it, and they do slightly different things. Both stop Kavvim creating any further Zoom meetings, and neither deletes meetings that already exist on your Zoom account.
From inside Kavvim: open Settings, then Integrations, and press Disconnect on the Zoom card.
- Kavvim tells Zoom to revoke its access, then deletes the stored Zoom credentials.
- New video bookings fall back to the shared video room.
- Join links already on existing bookings are left in place, so an upcoming call your client already has a link for still works.
From inside Zoom: go to the Zoom App Marketplace, open Manage, then Added Apps, find Kavvim and press Remove.
- Zoom notifies Kavvim, which deletes the stored Zoom credentials and marks the integration disconnected.
- Kavvim also removes the Zoom join links from your bookings. Only links Kavvim created are removed: a link you pasted in yourself is yours, and is left alone.
- New video bookings fall back to the shared video room.
Meetings Kavvim already created stay in your own Zoom account after either route. Once access is removed Kavvim can no longer reach them, so delete any you do not want from Zoom directly.
Troubleshooting
The connection fails, or Kavvim says it could not connect that account. Try Connect again. Kavvim refuses a connection where any requested permission was left unticked, and tells you so rather than saving a connection that cannot create meetings.
The card reads Reconnect needed. Zoom is no longer accepting the stored credential, usually because access was removed on the Zoom side or the permissions changed. Press Reconnect and approve again. Meanwhile video bookings keep getting a shared video room link, so nothing is lost.
A confirmed booking has no join link. Check that it is a video booking rather than a phone call or a site visit, since only video bookings get one. If it is a video booking and the link is empty, someone cleared it; confirming again will not re-create it, so paste a link or reschedule the booking.
A meeting is missing from Zoom. Canceling or declining a booking deletes its Zoom meeting, which is expected. A meeting that was already running when the booking was canceled cannot be deleted by Zoom and stays in your account.
Questions we get
Does Kavvim read our meetings or recordings? No. It has no access to recordings, transcripts, chat or participant lists, and does not request it. It creates, moves and deletes meetings, and reads the connected account's email address.
Which Zoom account are meetings created on? The one that authorized the connection. Meetings are created against that user's own account, and it is shown on the Integrations screen so you can check.
What happens to bookings that already happened? Nothing, if you disconnect from inside Kavvim. If you remove the app from Zoom, Kavvim clears the Zoom join links it created, including on past bookings, because those links came from Zoom.
